What Ruby Does
- Books classes directly into your system
- Answers FAQs about pricing, schedules, instructors, location, and policies
- Captures new client details and intro offer signups
- Handles waitlist requests
- Transfers urgent calls when needed
- Books discovery calls for new clients
What Ruby Doesn't Do
Ruby knows her limits. She always escalates to you when needed:
- • Handle billing disputes
- • Give injury or health advice
- • Deal with anything emotionally complex
- • Make decisions outside her training
For these situations, she always says "let me have the studio owner call you back" and sends you a text immediately.
What You Do
Week 1: Onboarding
45-minute setup call where we train Ruby on your studio's specifics: classes, pricing, policies, your voice and tone.
Weeks 2-4: Refinement
We monitor every call together, fine-tune Ruby's responses, and hand over once you're confident she's representing your studio's voice. Most studios reach hand-over by the end of week 3.
Ongoing: Daily Check-in
5-10 minutes each evening. Review Ruby's texts and SMS responses. She handles the calls; you handle the exceptions.
