How Ruby Works

A detailed walkthrough of the Ruby experience and what makes her the perfect fit for boutique studios.

What Ruby Knows About Your Studio

Class schedule

Instructor names
Location & parking
Intro offers
Cancellation policy
Dress code

What Ruby Does

  • Books classes directly into your system
  • Answers FAQs about pricing, schedules, instructors, location, and policies
  • Captures new client details and intro offer signups
  • Handles waitlist requests
  • Transfers urgent calls when needed
  • Books discovery calls for new clients

What Ruby Doesn't Do

Ruby knows her limits. She always escalates to you when needed:

  • • Handle billing disputes
  • • Give injury or health advice
  • • Deal with anything emotionally complex
  • • Make decisions outside her training

For these situations, she always says "let me have the studio owner call you back" and sends you a text immediately.

What You Do

Week 1: Onboarding

45-minute setup call where we train Ruby on your studio's specifics: classes, pricing, policies, your voice and tone.

Weeks 2-4: Refinement

We monitor every call together, fine-tune Ruby's responses, and hand over once you're confident she's representing your studio's voice. Most studios reach hand-over by the end of week 3.

Ongoing: Daily Check-in

5-10 minutes each evening. Review Ruby's texts and SMS responses. She handles the calls; you handle the exceptions.
